Website Design and Development Request for Proposals

The Malton Business Improvement Area (BIA) is seeking a redesign of their existing website. The Malton BIA is seeking an agency to design, build, and launch a new website.
 

GOALS OF PROJECT
The agency will design, build, and launch a new Malton BIA website that strengthens the Malton BIA brand and communications capacity, while providing opportunities to promote the over 320 local businesses in the Malton area.


The website will feature/use/be:
 

=> Easily accessible via multiple platforms (i.e. responsive design);
=> Google analytics;
=> Allow admins to add text, styling, images, embed media and documents without needing to code – ideally an easy to use, low maintenance Content Management System;
=> Dashboard that is customizable per user with overviews on most recent users, current users;
=> Photo galleries with touch-optimized interface (i.e. swipe/browsing controls);
=> Blogging/news (with archiving);
=> Social Media via Facebook/Twitter sharing and aggregation of recent social media posts;
=> Drag and drop webform builder with email notifications e.g. Job/volunteer application forms, contact forms, registration forms, etc.;
=> Online registration functions (membership/event/newsletter) that including payment processing and are exportable to CSV/Excel;
=> Polls for user voting with dynamic response reports;
=> Events with navigable calendar and list of upcoming events;
=> User commenting with admin moderation controls, subscriptions and email notifications;
=> Donations that allow for variable amounts and campaign specific contributions via credit card or Paypal;

=>Ability to feature scrolling advertisements and banners;
=> Automatic daily backups; and
=> VPS or cloud hosting.


The agency will support brand development and will able to work with text, video, and photo content provided by the Malton BIA.
The agency will provide post-launch optimization and maintenance services at an agreed upon consultation rate.


PROPOSAL REQUIREMENTS: Proposals must and include the following:
 

AGENCY INFORMATION:
* Name of the agency and business identification number;

* Name and contact information of the designated contact person representing the agency;
* General description of the nature, capacity, and specialties of the company, as well as the number of years it has been in operation; and
* Location of head office and any other locations.
 

PROJECT INFORMATION:
=> Understanding of the requirements of the project; 

=> Sample schedule and price overview of a similar project;
=> 3 references for similar projects done in the past (ideally at least 1 will be for a non-profit organization); and
=> 3 work samples of similar projects done in the past (ideally, at least 1 will be for a non- profit organization)
 

PROPOSAL SELECTION PROCESS
The proposal selection process will be carried out by a review committee composed of the Malton BIA board members.

SUBMISSION
Proposals must be submitted by 5:00 p.m. on Friday, February 28, 2014 to info@maltonbia.com.


PRESENTATION
Prospective agencies may be requested to present to the review committee. If presentations are desired, prospective agencies will be contacted as soon as possible once the call for proposals closes.


PAYMENTS
No payments, including expense reimbursements, will be given for the creation of submissions in responses to this RFP.
 

SELECTION
The review committee will score proposals on a scale that takes into account: understanding of the project, capacity to meet deliverables, experience of the agency (including experience working with non-profit organizations), and financial considerations. We reserve the right to refuse any proposal for any reason. The lowest cost solution will not necessarily be the successful proposal.
 

PROJECT TIMING:
The project will be begin in March 2014
